Pharmacy Supervisor vacancy in «Medecins Sans Frontieres-Belgium»

Medecins Sans Frontieres (MSF) is an international, independent, medical humanitarian organization that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. Pharmacy Supervisor (Sievierodonetsk)

Duties and Responsibilities:

  • Management of Stock:
  1. Advise on storage, stock management and supply processes of MSF donations, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material. This will be done according to internal protocols, national regulations and in cooperation with the logistics department and the pharmacy team.
  2. Assist on Coordinating of the delivery in close coordination with the logistics department, and answering of the technical questions which might be during reception of dispatch orders.
  3. Making sure that recording of all pharmacy movements (IN and OUT) and inventories is taking place in the hospital pharmacy software.
  4. Performing of regular inventories of MSF donated stock, stored in the dispensary central pharmacy - besides making of inventory reports and discrepancy reports and to be shared with the line manager and technical referent.
  5. Reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalize the budget and to ensure availability.
  • Management of End-user Pharmacy:
  1. Understanding, reviewing and analysing of the order/supply cycle of drugs and medical items between the central pharmacy and end-user units, including HIV/TB laboratories, hospital departments and ambulatory care, such as Trust Cabinets and HIV/TB OPD.
  2. Reporting of any identified gaps, and proposing of corrective and preventive solutions (i.e. incomplete registering of consumption, unreported discrepancies, wrong dispensing practices, etc.) within the order/supply cycle between the dispensary central pharmacy and end-user units (Trust Cabinet, HIV/TB OPD and lab, HIV/TB IPD).
  3. Supporting and on-job training of MSF beneficiary support team to collect pharmacy related data (i.e. tally sheet, assessment forms, etc.) at ambulatory care level, and working in collaboration with the patient support team and epidemiology team on how to improve pharmacy data collection and analysis at the project level.
  4. Supporting of the pharmacy team on performing on-job trainings for the MOH medical staff in charge of stock management and dispensing at the level of end-user units (Trust Cabinet, HIV/TB OPD and lab, HIV/TB IPD).
  • Management of Pharmacy Data:
  1. Centralizing and analysis of the pharmacy data which is collected by the beneficiary support team (i.e. pharmacy assessment forms, tally sheet, etc.) and building of a pharmacy database which can give an overview about the consumption patterns, stock-outs and discrepancies in different ambulatory and IPD locations.
  2. Updating of the database of beneficiaries’ regimens, and to give an overview about the no. of enrolees per cohort and the percentage of usage of each drug.
  3. Monthly reporting of pharmacy consumption (i.e. distribution from central stock to end-user units), and stock balances.

Requirements:

Education:

Graduate of Pharmacy, at least 1 year experience as pharmacist

Experiece:

  • Essential 2 minimum working experiences in pharmacy supervision.
  • Desirable experience in MSF or other NGOs.

Languages:

  • Ukrainian, Russian and good level of English language is a must.

Job location: Severodonetsk and other locations in Luhansk Oblast.

Type of agreement: Civil law agreements (3 months extendable with Labor Agreement).
